We have an exciting opportunity for an Engagement Programs Administrator. Reporting to the Director, Employee Engagement, this role will support the administration of our global Employee Engagement programs (including recognition and employee surveys). This role is also responsible for a variety of administrative tasks such as maintaining HR Org charts and distribution lists.

This is a role for an experienced administrator who is passionate about the employee experience and who is curious, enjoys problem solving, and looking for ways to improve process. We are doing exciting work in creating a meaningful and impactful employee experience at Stantec.

Your Key Responsibilities

  • Provide administrative and coordination support for all Employee Engagement programs

  • Administration of the Global Employee Recognition platform

  • Create and maintain program specific reports with large datasets for stakeholders

  • Monitoring program email inboxes and responding to or escalating inquiries as appropriate

  • Administration support of our Engagement and Exit surveys

  • Administration support of SharePoint and intranet sites, including managing site permissions and structural changes to the site

  • Maintenance of organizational charts, distribution lists, and meeting invites

  • Providing backup coordination support for HR Communications for HR programs and initiatives (includes document formatting and content management)

  • Working on special projects as required

Qualifications

Your Capabilities and Credentials

  • Advanced proficiency in Excel and Word (required)

  • Proficiency in MS PowerPoint, Adobe Acrobat

  • Strong attention to detail

  • Experience working on multiple, deadline-driven projects concurrently in a team-oriented environment

  • Understanding of HR processes and practices is an asset

  • Able to pull large data sets and complete basic data manipulation, such as pivot tables and heatmapping with guidance

  • Excellent interpersonal, communication, and customer service skills

  • The ability to work independently and demonstrate accountability

  • Critical thinking and problem-solving skills

  • Comfortable and professional working in a hybrid environment (virtual and in-person)

  • Flexibility to occasionally work different hours to connect with our teams in different time zones (as required)

Education and Experience

  • High school diploma or equivalent

  • Minimum of 5-6 years of related experience or an equivalent combination of education and experience
